Four Years of Lessons as a Virtual Assistant

Four years ago, I took the leap into the world of Virtual Assistance. Now, looking back, I can see just how much I’ve learned. One of the biggest lessons has been learning to manage my own capacity - not only with regards to client work, but my mental capacity and headspace, as well as business development, and personal growth. 


Working as a VA in the creative and advertising industry has been both rewarding and challenging. It’s a role that blends practical support with strategic insight, making it possible for time-poor business owners to achieve more without sacrificing their work-life balance. But like many of the clients I support, I’ve discovered that staying focused on my own capacity is key to delivering the best support to my clients.


Saying “Yes” to Every Opportunity

Starting out, I was eager to grow and willing to take on any opportunity that came my way. My focus was largely on building experience, revenue, and reputation. Every new client, project, or opportunity was a chance to solidify my place in the industry.


But there was a trade-off. By saying “yes” to everything, I sometimes found myself overcommitted, running on fumes, and losing sight of the long-term vision I had for my own business. My boundaries blurred as I sought to deliver exceptional results, often at the cost of my own development.


Balancing Client Work and Business Development

As my business grew, I began to understand a significant challenge that many of my clients also face: balancing the urgent demands of client work with the essential task of nurturing and developing my own business. I soon realised that I was often so absorbed in my clients’ goals that my own business goals were relegated to the background. My day-to-day became a cycle of helping clients with their projects, while neglecting areas like marketing, admin, and my personal development.


I knew I needed to step back and improve my own capacity. Here are the approaches that have helped me maintain a healthy balance, ensuring I provide the best possible service to clients while also prioritising my own growth:


  • Prioritise: Identify the core areas of your business that need consistent attention, including client work, marketing, admin, and personal development.
  • Allocate Time: Reserve specific blocks in your schedule for business development tasks, ensuring that they’re treated with the same importance as client work.
  • Assess Regularly: Review your capacity and client load regularly to ensure you’re able to deliver quality without overstretching.


It sounds simple, doesn’t it? But I can honestly say these three strategies have really helped me, and I hope they might help you too.


The Importance of Headspace

One often overlooked aspect of managing time effectively is mental and emotional bandwidth. It’s easy to overlook, especially when you’re focused on deadlines and deliverables, but maintaining headspace is crucial to being able to think clearly, plan strategically, and stay open to new ideas.


Without enough headspace, creativity and problem-solving suffer, which can be particularly limiting in an industry like ours where adaptability and innovation are key. I found that without taking intentional breaks and engaging in personal development, I could easily lose sight of the “big picture” both for my clients and myself.


To keep the mental clarity I need to do my job well, I focus on:


  • Setting Boundaries: Allocating downtime and taking it seriously, whether through regular breaks or designated time off.
  • Continuous Learning: Investing in skills development to stay inspired and confident in delivering the highest-quality service.
  • Reflection: Regularly reflecting on my goals and progress, ensuring my business aligns with my core values.
